Low-Budget Case Studies
These fictional cases combine situations that recur on independent productions. They show how preparation protects limited VFX labor. The budgets cover the complete production, not only post.
Harbor Light: A $500,000 Feature with 76 VFX Shots

Maya Chen produced Harbor Light, a $500,000 feature planned around practical locations and a small crew. The first VFX breakdown contained 93 shots. Most were invisible fixes, but twelve required set extensions, green-screen photography, or substantial integration. The budget could not support the list as written.
Maya paid Nia Brooks, the part-time VFX supervisor, to break down the script before the budget was approved. Nia identified repeated environments, common cleanup, screen work, and shots that depended on production design. Maya obtained bids against that breakdown. She removed effects that did not change the story, combined coverage where one background could serve several shots, and reduced the final count to 76. The decision happened before the crew built or photographed the affected sets.
The production could not hire Nia for every shoot day. Maya scheduled her for prep, the highest-risk photography, turnover, and weekly reviews. Nia wrote a capture plan for the remaining days. The plan named the clean plates, lens grids, tracking references, color charts, spheres, HDRIs, and survey data required by each setup. The camera and VFX teams logged the reference with the related take. For the green-screen work, Nia and the cinematographer selected clean spherical lenses that still supported the look of the film.
Tessa Morgan, the colorist at Westline Post, joined one camera and workflow test. Nia and Tessa specified the Camera RAW decode, plate and final-render formats, color pipeline, framing, and grain placement. Beacon VFX and Breakwater VFX each returned one untouched test plate through their complete pipelines. Westline compared the returns with the issued plates before production sent either vendor a batch of shots. Maya approved the cost and schedule. She left the technical settings to the specialists who had to implement them.
During editorial, Sam Ortiz gave every VFX shot a stable name and removed through-edits that served no purpose. The team kept one production-controlled tracker with the cut use, assigned vendor, intended revision, status, cost, and delivery date. Westline pulled the plates. Four handle frames were enough for stable shots. Shots near an unsettled edit received more before the pull. The vendors received plates rather than Camera RAW, plus the current cut reference, framing, color-viewing path, and on-set reference.
Maya also controlled review overhead. The director reviewed one current version in scene context. Maya consolidated the notes, identified which notes changed the approved scope, and sent one response to the vendor. The agreements distinguished normal creative development from change orders. A shared coordinate grid replaced descriptions such as “the reflection above the third window on the left.” Remote review settled VFX content. Final color approval remained in the grading theater.
The production compromised on scope, not on handoff quality. A matte painting replaced a custom CG build. One environment served several shots. Speculative polish stopped when it no longer improved the scene. HDR, IMF, and buyer-specific versions waited for a sale. The funded package retained the approved SDR master, textless shots, sound masters, VFX finals, current projects, pipeline dependencies, manifests, checksums, and restore instructions.
The preparation did not make 76 shots inexpensive. It kept artists from spending paid hours finding media, guessing at the look, rebuilding turnovers, or rendering the wrong cut. When the schedule changed, the tracker showed which revision belonged in the DI and who had approved it.
Low Tide: A $10,000 Short with 20 VFX Shots

Eli Navarro edited Low Tide, a $10,000 short with twenty VFX shots and no post supervisor, VFX editor, or facility contract. The list included paint removal, phone inserts, split screens, and two sky replacements. The director and producer had enough money for a small amount of specialist labor, not a vendor team that could organize the work for them.
Eli started by making the cut cheaper to finish. He shortened paint-heavy shots, chose takes with cleaner overlaps, and simplified the screen designs. The final list still contained twenty shots, but fourteen could be completed inside the editorial and finishing system. Six difficult tracking and paint shots went to a freelance compositor. Eli did not count unpaid favors as a delivery plan. The production set a fee, deadline, revision allowance, credit, and required project handoff for the freelance work.
Before the compositor began, Eli booked a short consultation with the finishing colorist. They fixed one Camera RAW decode and tested a plate through the compositor's software and back into the finish. Eli pulled the six external plates from that approved setup. He did not send Camera RAW and ask the artist to reproduce the decode. Each package contained the complete logical shot, four handle frames, the source-to-edit frame map, the current cut reference, a temp composite, and the agreed viewing transform.
Eli prepared the timeline with the same care. He removed through-edits and unused clips hidden under higher tracks. He flattened unnecessary compound clips and documented the few effects that the finish had to rebuild. Mixed-rate stock footage was interpreted at the project timebase when a small speed change was acceptable. The team avoided optical-flow conversion that would soften the image or create synthetic frames.
The production used a spreadsheet instead of a shot database. One row recorded the shot name, assigned person, plate and final ranges, current revision, state, notes, and delivery link. Each shot folder contained the plate, reference, instructions, and returned final. A manifest and checksum covered every transfer. The production retained two verified copies of the source media and never sent its only copy to an artist.
The director reviewed the shots through one password-protected Frame.io project. Eli made sure that everyone discussed the same revision. He translated long positional notes into references to a shared coordinate grid and returned one consolidated note set. When compression made an edge look wrong, he checked the uploaded source before asking for another render.
The short deferred anything that did not serve its immediate release. It had no HDR master, alternate language package, or speculative DCP. A DCP would be made after a festival booked the film. Grain and texture remained outside the VFX plates and were applied once in the finish. The compositor delivered one approved high-resolution final per shot after the workflow test, not a stream of technically different files.
Eli did not compromise the source copy, frame map, color path, complete-shot delivery, or final QC. He compromised the number of complex operations and the number of people touching each shot. At closeout, the production kept the camera originals and production audio, approved picture and sound masters, VFX finals, current editorial and finishing projects, pipeline dependencies, manifests, checksums, and restore instructions. The artists spent their limited hours on the images instead of identifying files or reconstructing the workflow.
